PROJECT COORDINATOR

As a Project Coordinator at Ignite Media, you'll serve as the organizational backbone of our creative and technical teams. You'll work directly with project managers, designers, developers, and clients to ensure all project elements stay on track—from kick-off through delivery. Your role includes managing timelines, scheduling meetings, documenting progress, and helping allocate resources effectively.
You’ll also play a key role in client communication—coordinating updates, tracking feedback, and ensuring deliverables align with expectations. Whether it’s a multi-channel marketing campaign or a website redesign, you’ll be responsible for keeping everyone aligned, informed, and moving forward. Your attention to detail and ability to juggle multiple priorities will directly impact project success and client satisfaction.
Responsibilities:
Oversee complex digital marketing and web design projects from initiation through delivery, managing timelines, resources, and task delegation across multiple workstreams
Act as the day-to-day point of contact for both internal teams and clients—managing communications, clarifying expectations, and ensuring alignment on scope and priorities
Build and maintain detailed project schedules using platforms like Asana or Monday.com, mapping out dependencies, milestones, and handoff points to avoid bottlenecks
Facilitate sprint planning, stand-ups, and status meetings, capturing action items and ensuring timely follow-through from all contributors
Proactively flag risks and blockers before they escalate—resolving issues related to scope creep, resourcing, or communication breakdowns to keep projects on track
Coordinate cross-functional teams including designers, developers, strategists, and content creators, ensuring clarity on ownership and timely delivery of assets
Track and manage budgets and hours, working with leadership to maintain profitability and ensure client expectations are met within financial scope
Prepare and distribute progress reports and documentation—including client-facing updates, internal post-mortems, and wrap-up summaries
Ensure deliverables meet quality standards and project goals, working closely with creative and technical leads to uphold Ignite Media’s quality benchmarks
Support proposals and onboarding for new clients, helping define project scopes, timelines, and resource plans during the pre-kickoff phase
Requirements:
1–3 years of experience in project coordination, account support, or a similar role in a digital or creative environment
Excellent organizational and time management skills with the ability to handle multiple projects simultaneously
Strong communication skills—both written and verbal—and comfort interacting with clients and team members at all levels
Familiarity with project management tools like Asana, Trello, Monday.com, or similar platforms
Ability to create timelines, track milestones, and manage deliverables with precision and accountability
Basic understanding of digital marketing, creative workflows, or web development processes is a big plus
Adaptability and resourcefulness in fast-paced, deadline-driven environments
Detail-oriented mindset and a proactive approach to problem-solving
